Reflective Nutrition Terms of Service

Last updated: 17th October 2026

These Terms of Service explain the practical arrangements that apply when you work with Reflective Nutrition.

Please read them before completing your first booking. By completing your booking, you confirm that you have read and agree to these terms.

1. The service

Reflective Nutrition provides specialist dietetic assessment and support for adults aged 18 and over.

The service is provided by Rachel Jennings, HCPC Registered Dietitian.

Appointments are currently provided online.

Reflective Nutrition provides dietetic care within its professional scope of practice. It is not an emergency, crisis or medical monitoring service and does not replace medical, psychiatric, psychological or other specialist care where this is required.

Recommendations will be based on the information available, professional judgement and collaborative discussion with you.

2. Appointments and fees

Current appointment fees will be made clear before you book and are also available on the Reflective Nutrition website.

Payment is taken before the appointment.

Any additional work that may involve a separate fee, such as substantial reports or professional liaison outside the usual appointment time, will be discussed with you before it is undertaken.

3. Cancelling or rearranging an appointment

If you need to cancel or rearrange an appointment, please give as much notice as possible.

Where less than 24 hours' notice is given, the usual appointment fee may be charged.

This will be considered reasonably where unexpected circumstances make attendance impossible.

If Reflective Nutrition needs to cancel or rearrange an appointment, you will be offered an alternative appointment or a refund of any fee already paid for that appointment.

4. Missed appointments and late arrival

If you do not attend an appointment and have not cancelled it, the usual appointment fee will normally be charged.

If you arrive late, the appointment will usually still finish at the original agreed time. The full appointment fee will normally apply.

Where technical problems significantly disrupt an online appointment, we will agree a reasonable way forward depending on the circumstances.

5. Information needed for your care

You are asked to provide information that is accurate and relevant to your dietetic care and to let Reflective Nutrition know if important circumstances change.

There may occasionally be information that is needed before assessment or before it is safe or appropriate to continue with a particular piece of work. Reflective Nutrition will explain what is needed and why.

Reflective Nutrition does not routinely obtain medical records or information from other professionals on your behalf.

6. Working with other professionals

Most contact with other professionals will only take place where there is a clear reason to do so and with your consent.

Where professional liaison is clinically necessary for Reflective Nutrition to provide safe care, this will be discussed with you.

There are limited circumstances in which information may need to be shared without consent, for example where required by law or where there is a serious concern about safety or safeguarding. Further information is provided in the Privacy Notice and information about confidentiality.

7. Contact between appointments

Email and other routine contact methods are intended for practical communication and proportionate follow-up connected with your care.

They are not monitored as an emergency or crisis service.

Clinical concerns that require proper discussion will usually need to be addressed within an appointment rather than through extended email correspondence.

8. Suitability and changes in circumstances

A Discovery Call helps establish whether Reflective Nutrition is an appropriate service to begin working with.

Clinical needs and circumstances can change. Assessment may also identify needs that were not apparent beforehand.

If Reflective Nutrition becomes unable to provide care safely or appropriately within its scope, this will be discussed with you. This may include pausing or ending the work and, where appropriate, suggesting another service or source of support.

9. Reviewing and ending our work together

Where possible, we will agree an initial timeframe or number of appointments for our work together. This gives us a natural point to review progress, consider what has been helpful and decide together what is needed next.

At a review point, we may agree to:

  • bring the current piece of work to an end;

  • arrange a further period or package of appointments;

  • change the focus or frequency of appointments; or

  • consider whether another service or source of support would now be more appropriate.

You can choose to end your work with Reflective Nutrition at any time.

Reflective Nutrition may also recommend pausing or ending work at any point during intervention, rather than waiting for a planned review, where:

  • the service is no longer appropriate for your needs;

  • your needs fall outside the scope of the service;

  • safe care depends on information, medical support or professional involvement that is not available;

  • appointments are repeatedly missed or the agreed working arrangements cannot reasonably be maintained; or

  • another service would be better placed to meet your needs.

I will aim to make decisions about continuing, pausing or ending work collaboratively with you, in keeping with the way we work together throughout your care. There may occasionally be circumstances where I need to make a decision based on safety, professional responsibilities or the scope of the service, even if we are not able to reach that decision together.

Any outstanding fees for services already provided remain payable.

10. Your legal right to cancel

10. Cancellation and your right to cancel

Your 14-day cancellation right

When you book an appointment online, you will normally have a legal right to cancel within 14 days of booking, without giving a reason.

To cancel an appointment, please email hello@reflectivenutrition.co.uk. You do not need to complete a cancellation form, although one is provided at the end of these Terms should you prefer to use it.

Appointments within 14 days of booking

If your appointment is scheduled within 14 days of booking, I will ask you to confirm that you would like it to go ahead during this period.

If you cancel after your appointment has started, you may be charged for the part already provided. Once the appointment has been completed, your statutory right to cancel that booking will end, provided you have given the required confirmation beforehand.

Any refund due following statutory cancellation will be made within 14 days of receiving your cancellation.

24-hour appointment cancellation policy

Appointments can normally be cancelled or rearranged without charge when at least 24 hours' notice is given.

If you cancel or rearrange an appointment with less than 24 hours' notice, the full appointment fee may be charged, subject to your statutory cancellation rights.

This policy does not affect your legal rights.

11. Privacy and clinical records

Reflective Nutrition keeps appropriate clinical and administrative records and handles personal information in accordance with data protection requirements.

Further information about what information is collected, why it is used, how it is stored and your rights is provided in the Reflective Nutrition Privacy Notice.

12. Concerns or complaints

If you are unhappy with any aspect of the service, you are encouraged to raise this directly with Reflective Nutrition so that it can be understood and, where possible, addressed.

Information about the formal complaints process is available on request and will also be provided where a complaint is made.

13. Changes to these terms

These Terms of Service may occasionally be updated, for example if service arrangements or legal requirements change.

Any changes that materially affect ongoing work with you will be communicated appropriately.
